Personal Information – Policy Regarding Usage

Eban Japan Limited is committed to the highest standards of professionalism and ethics in its business dealings and fully supports the new privacy law in effect in Japan from April 2005. In keeping with that law we have a formal internal manual governing the safekeeping and use of private information on individuals.

Our business entails identifying, on behalf of our corporate clients, individuals likely to be suitable for specific roles within our client companies and conducting research on such individuals to ascertain whether they should be approached for such roles and then making such approaches ("headhunting") on behalf of those clients.

In that regard we gather information, lawfully and in a reasonable manner, which we may validate with our clients before or after a formal approach to an individual, in order to keep our business as discreet and focused as possible.

Provision of Personal Data

1 The provision of Personal Data in order to provide headhunting, research and consulting services to our clients is Eban Japan’s purpose in the use of Personal Data.

2 Personal Data includes the following:

Name, age, gender, nationality, current company, job history, educational history, qualifications/licenses and other important information concerning a hiring.

3 Personal Data is provided in writing, via e-mail and/or verbally.

4 Eban will terminate the provision of Personal Data of a particular person to a client firm if demanded by that individual.

Sharing of Personal Data

1 Eban Japan shares the Personal Data with parties stated under 3.

2 Shared data includes the following:
Name, Age, Gender, Nationality, Current company, Job history, Educational history, Qualifications/licenses and other sufficient information concerning a hiring.

3 Eban Japan shares the Personal Data with the following parties:

Eban International Limited (Hong Kong)
Eban Limited (London)
Eban International, LLC (New York)

4 The purpose of sharing the Personal Data is in order to provide headhunting, research and consulting services to our clients.

5 Eban Japan Limited is responsible for managing shared Personal Data.

Request of Disclosure

Please follow one of the methods below when requesting disclosure, amendment, addition, termination of use or any other requests:

1 In person

Please make an appointment in advance and bring photo ID with you when visiting our office. We shall ask you to complete the relevant form on arrival.

2 By post

Please enclose the following documentations and sent them to the address below:

  • A colour photocopy of your photo ID (passport, driving license, Alien Register card etc.)
  • ‘InkanTorokuShomeisho’
  • Sealed Request form:

    Request of disclosure
    Request of amendment/additions etc.
    Request of termination of use etc.

Please note that forwarded documentations, letters will not be returned.

Any cost to acquire documentation is at your own cost. Eban would normally waive any administrative cost in dealing with requests but receives the right to charge on occasion.

We will revise the Personal Information Policy from time to time according to changes in related legislation/laws and guidelines. We kindly ask you to check our website regularly. Thank you.
